Job Description

We are looking for a proactive and skilled Executive Assistant to support the Head of Client Services and their respective teams, contributing to the growth and success of a dynamic organization. This role is perfect for a driven, self-motivated professional eager to take on both administrative tasks and special projects. The ideal candidate will possess excellent problem-solving abilities, critical thinking skills, and a passion for making an impact.

This full-time, in-office position is based in New York City.

Key Responsibilities:

  • Manage calendars, schedule internal and external meetings, and handle related logistics.
  • Act as a liaison with senior-level professionals, representing the executive team in communications with clients, investors, partners, board members, and department managers.
  • Gather and organize materials for the team, assist in preparing presentations, reports, spreadsheets, and other essential documents.
  • Collaborate with colleagues across departments to coordinate logistics for meetings, events, projects, and special assignments.
  • Arrange detailed travel itineraries and handle travel bookings.
  • Assist with managing expense reports and processing vendor invoices as required.
  • Take ownership of special projects and contribute to team efforts.
  • Provide ad-hoc support for both professional and personal needs.

Qualifications & Experience:

  • 3-5+ years of experience providing executive support, ideally in the finance or investment sectors.
  • Experience working in a high-pressure environment supporting C-suite executives is a plus.
  • A Bachelor’s degree is preferred.
